Setting up a company in the UK using virtual offices offers flexibility and professionalism to businesses. As easy as it might seem, businesses need to understand that they have to pass Anti-money laundering (AML) checks before using a virtual office in the UK.

As a licensed virtual office service provider in the UK, Icon Offices are required by law AML regulations. These regulations require businesses to verify customers’ identities and report suspicious activities. These regulations are to ensure our clients submit legitimate documents prior to using our address services.

This guide will clearly highlight what documents are needed, in which format, who, and how to submit the documents.

Documents needed to open a virtual office at Icon Offices

Once you subscribe to our packages and sign up, you will need to log into the customer admin area and upload your identity documents. For our services, we do not require ID documents for VoIP or Virtual Mobile Services. To know the documents, we need and in what format, click on the link below.

We will need a photo ID, proof of residential address, 2 selfies; a selfie holding a sign and a selfie holding a photo ID as shown in the image below.

Photo ID

As the image below, we accept any 1 of these; passports, driving licences, and National ID cards. You can submit either of these documents in any language. 

However, we do not accept scanned photo IDs. It must be a photograph with all corners showing. Please ensure any holograms are visible when you take a photo.

Proof of residential address

To prove your residential address, you can either provide a bank statement dated within the last 3 months, a tax document dated within the last 12 months, a utility bill dated within the last 3 months, a credit card statement dated within the last 3 months, driving license or passport with residential address printed on it as shown in the image below.

Selfies

Submit a selfie holding a sign with the name of your company or business as shown in the image below.

The second selfie should be of you holding your photo ID. The text in the ID should be visible together with all four corners as shown in the image below.

Letter of Authorisation

 

If the account with us is being managed by an account handler we need an additional document from any of the directors of the company as shown in the image below.

For the account handler, we will need the same documents as those of the director. However, the selfie holding a sign should be as the image shown below.

All documents can be uploaded in the client login area after you sign up. We accept documents in all languages and we can translate them for free if we can. For the languages that we cannot translate, a translator will be hired at a fee of £12.00 payable before we hire a translator.

Always ensure that your details like name, address, phone number are correctly entered in your account before uploading your documents. Also ensure that you have informed us about all active directors and majority shareholders of the company.
