When dealing with customers, the Know Your Client (KYC) verification process is very important to confirm customers’ identity and financial activities. According to the Economic Crime Trade (ECCTA) Act, the KYC verification process is important to prevent financial crimes such as money laundering and fraud.

The KYC verification process typically involves document validation, facial recognition, document recognition, and public databases. This helps to check the authenticity of the documents and validity to maintain customers' due diligence procedures.

To achieve KYC compliance, Icon Offices has some KYC requirements that customers need to fulfil after purchasing our services. Here is a step-by-step guide for the Icon Offices KYC verification process after purchasing a service. Once you purchase a service from Icon Offices you will get a confirmation email. Make sure you check your email for any instructions or related links to KYC verification.

Access KYC portal

Log in to your customer portal and upload your ID documents from the ID upload section.

If the service was purchased by an Account Handler, Icon Offices will need documents of both the director and Account Handler.

Make sure you have all the documents needed to complete the verification process, that is;

·    Photo ID (Passport, driving license)

·    Proof of Address (utility bill, bank statement, credit card statement all dated within the last three months)

·    And a Selfie Test

Upload the documents

Upload the required documents in specified formats. For the photo ID, Icon Offices does not accept scanned photo IDs. It must be a photograph with all corners showing. Please ensure any holograms are visible when you take a photo.

For the selfies, ensure all four corners of the sign along with your hands holding it are visible.

Ensure that all documents are clear and legible to avoid delays in processing.

Submit the documents

Once you upload & save all the necessary documents, click the “Submit All Documents” button and the Icon Offices team will review your application. This may take a few business days. During this time, they may reach out for additional information or clarification.

To know if your documents have been submitted, the status of your documents should read “Under Review”, if they have been approved, it should read “Approved”

Under Review - This means the IDs submitted are yet to be processed/reviewed by our team

Awaiting upload– This means the ID documents have not been uploaded yet.

Rejected- This means the documents uploaded did not meet Icon Offices’ requirements and you should upload them again.

If one of the documents is approved and the others are rejected, you will only reupload the rejected documents. Once you have uploaded all the documents, make sure you press the “Submit All Documents” button.

Upon successful verification, you will receive a confirmation email. If there are any issues or additional documents needed, the Icon Offices team will notify you via email.
